Project & My Role

WFS runs a network of business clubs with directors, members, guests, and meetings. Their operations were scattered: ClickUp (too complex and costly), Google Sheets, and a mobile app that tracked meetings. Leads were getting lost, processes duplicated, data manually copied between tools.

I designed a dedicated CRM that unified everything in one place. I led research, wireframed flows, built a component system from scratch (for Bubble.io devs), and focused on UX patterns that prevent user errors and boost clarity. Every screen and message had to be foolproof for non-technical users.

The Problem I Solved

WFS teams were juggling too many tools.

ClickUp was expensive and overkill. Their internal app only covered meetings. Directors lost leads, wrote things down by hand, and copied data from form to form. Tasks slipped through the cracks. No single place showed the full picture of a member, guest, or sales opportunity.

What they needed was a CRM designed specifically for how networking clubs work.
Clear stages. Simple contact actions. Connected meetings. Error-proof UX.

What I Designed & Why

I interviewed directors, organizers, and assistants to map the real flow of member onboarding, meeting logistics, and sales. The biggest pain: nothing worked together, and ClickUp’s complexity slowed down everything.

I rebuilt the entire structure:

  • a clean lead pipeline with status, contact options, and meeting history

  • meeting builder with participant tracking, task notes, and presentation uploads

  • user-friendly contact profiles with role, progress, and engagement level

  • and most importantly, inline validations and smart error handling to guide users

No unnecessary features. Everything focused on clarity, speed, and control.

SUMMARY

I turned a patchwork of tools into one focused CRM that actually fits the business. My UX thinking cleaned up operations, saved time, and made sure every lead, guest, and meeting stayed on track. The interface felt simple on the surface but was built with real user behavior in mind. And most importantly – it worked.
